🏷️ Marking Children & Babies in a Closed Guest List
If you have a closed guest list (guests can't add their own plus ones), you'll add each guest yourself — including children and babies within a household.
When adding a guest, use the age/type column to mark them as a child or baby rather than an adult.
⚠️ Important: Marking a guest correctly as a child or baby is essential — this is what allows their information to pull through correctly into your floorplan later.
🍽️ Adding Kid-Specific Meal Options
You can create additional meal questions specifically for children, separate from the standard adult main meal options.
Example: Adding a "Kid's Meal" question with options like:
Kid's Meal 1 — Chicken and peas
Kid's Meal 2 — Fish and peas
You can also add a "No starter" option for children/babies who don't need a starter course, and the same applies to dessert if needed.
📌 Note: Keep kid's meal options simple and few — most caterers only offer one or two children's menu choices, so matching that keeps your RSVP realistic.
📝 What This Looks Like During RSVP
When a household RSVPs, each member's meal choices can be set individually:
Adults can select from the full menu (e.g. starter, main, dessert)
Children can be given "No starter" or kid-specific main meal options (e.g. chicken and peas)
Babies typically won't need a meal selected at all
📌 Note: It's still good practice to collect allergies for children and babies too, alongside any accessibility needs (e.g. requiring a highchair).
Once submitted, all of this information pulls through into your guest list automatically.
🪑 Syncing to Your Floorplan
Once children and babies are seated in your floorplan, their information carries through to your export:
Guests with a documented allergy are automatically highlighted
Seats are color-coded according to each guest's chosen main meal
A detailed page lists every guest with an allergy, accessibility, or dietary need — including their table, seat, name, and specific requirement
On the page showing all guests in alphabetical order, each guest's age category is marked with a letter:
A = Adult
C = Child
B = Baby
This same labeling also appears on the zoomed-in table view.
💡 Tip: Use the A/C/B labels when briefing your caterer or venue — it's a quick way to confirm headcounts by age group without recounting manually.
