🔗 How to Start an Import
Go to your Guests page from the left sidebar
Click the ••• (more options) menu next to Add guest
Select Import
💡 Tip: If your guest list is empty, you can also start from the Import guestlist button shown on the empty state screen.
📋 Columns TTO Will Import
Before importing, TTO shows you exactly which columns it can match your file to, along with the accepted values for each:

⚠️ Important: This import only matches to columns that already exist on your Guest List — it can't create new ones. If your file has a question or column that isn't listed above, add it to your Guest List first, then import.
📌 Known issue: If you've just added a new question/column on the Guest List page, refresh the page before importing — the import won't detect newly added columns until you do.
📄 Selecting Your File and Sheet
Once you upload your file, you'll be asked to:
Select a sheet to load data from — if your file has multiple tabs (e.g. a "Guest List" tab and a "Legend" tab), choose the one containing your actual guest data
Select a sheet to import this data to — this will typically be your existing Guest List
Click Continue once you've made your selections.
🔀 Mapping Your Values
If your file uses different wording than TTO's accepted values (e.g. your spreadsheet says "Caprese Stack" but TTO expects "Vegetarian"), you'll be prompted to map each incoming value to a destination value column by column.
For example, mapping a Meal column might look like this:
Fish Fillet → Vegetarian
Rib-Eye Steak → Beef
No response → No response
None → None
Caprese Stack → (needs mapping — shows as "Select...")
📌 Note: Any value left unmapped (like "Caprese Stack" above) won't import correctly until you select a matching destination value. Keep an eye on the "X of Y values mapped" counter at the top of each column's mapping screen to make sure everything is accounted for.
🍽️ A Note on Meal-Related Columns
Meal, Starter, and Dessert columns are tied to your RSVP catering question — the answer options guests choose from during RSVP are the same values available for import.
If you've customized your RSVP's meal options (for example, changing them to "Fish Fillet," "Rib-Eye Steak," etc.), you can edit these directly from your RSVP question editor — just make sure your import mapping matches whatever options are currently set up there.
💡 Tip: If you update your meal options in RSVP settings, make sure to re-check your import mapping afterward, since previously mapped values may need to be reassigned to match the new option names.
🔗 How Catering Questions Connect to Your Floor Plan
Both the Starter and Meal questions in your RSVP are automatically connected to your floor plan — you'll see a "Connected to floor plan" label underneath each question in the RSVP editor.
This means that whatever meal options guests select during RSVP will automatically sync into your floor plan exports — no manual entry needed. When you export your floor plan (as a Document, for example), each guest's meal choice will appear next to their name in the seating table, along with any noted allergies or dietary requirements.
📌 Note: Because this connection is automatic, it's especially important that your imported meal values are correctly mapped to your RSVP's current options (see the mapping section above) — otherwise, guests may show up with missing or mismatched meal choices on your floor plan export.
