📥 How to Import Your Guest List (and Add Meal Info in Bulk)

Learn how to upload an existing guest list with contact and meal information already collected, and how to bulk-update allergies, dietaries, and meal choices afterward.

📤 Importing Your Guest List

  1. Click Import

  2. Upload your file

  3. TTO will automatically try to match your spreadsheet's columns to the corresponding fields in your TTO guest list

  4. Click Continue

📌 Note: If a field is highlighted (e.g. in red), it means TTO couldn't validate the formatting — for example, a phone number needs to start with a +. You can correct these directly in the import screen before submitting.

Once everything looks correct, click Submit to add your guest list.

💡 Tip: Keeping first and last name in separate columns in your spreadsheet makes the import match more accurately.

🥜 Adding Allergies & Dietary Info in Bulk

Meal-related fields like allergies and dietary requirements aren't part of the import — these need to be added manually after import, but you can do this in bulk rather than guest-by-guest:

  1. Select the relevant guests in your guest list

  2. Click Edit

  3. Find the Allergy (or Dietary) column

  4. Enter the info and click Save

This applies the update to every guest you selected at once - useful if, for example, several guests share the same allergy or dietary requirement.

🍽️ Setting Up Starter, Meal & Dessert Options

Guest meal choices (starter, main, dessert) are tied to your RSVP questions - so before assigning these in bulk, make sure your RSVP starter/meal/dessert options match what you actually need:

  1. Go to your RSVP

  2. Find the relevant question (e.g. Starter), and switch it on if needed

  3. Click Edit to adjust the available options — remove any you don't need, rename existing ones, or add new ones

  4. Click Save

Once your options are set, go back to your guest list — the meal dropdown columns will reflect your updated options, and you can bulk-select guests to assign their meal choices the same way you did with allergies.

⚠️ Important: Always use the default Starter, Meal, and Dessert RSVP questions (rather than creating custom ones) for this — these are the ones automatically connected to your floorplan. You'll see a "Connected to floor plan" label confirming this.

🔗 Why This Matters for Your Floorplan

Because these default questions are linked to your floorplan, once you build your seating plan and export the PDF, guest meal choices, allergies, and dietary needs will automatically sync and display alongside their seat assignment — no manual re-entry needed.
