📨 How Guests Complete Their RSVP

Understanding how your guests experience the RSVP form helps you design it clearly and avoid confusion. Here’s what happens from the guest’s perspective - step by step.

💌 How Guests Access the RSVP Form

Guests can reach your RSVP through your website, a direct link, an E-Card invitation or a QR code on a printed invite.
Once they click, they’re taken straight to your form.

🔐 How Guests Identify Themselves

Guests can identify themselves by entering their email address or phone number. TTO uses this information to match them to their guest profile in your Guestlist.

If the system isn’t able to find a match, their response will still be captured and appear in your RSVP Inbox for review.

When entering a phone number, the country flag is automatically set based on the user’s current location. This can easily be changed by clicking on the flag and selecting the correct country code for your guest.

The phone prefix (e.g. +1) cannot be edited manually, as it automatically updates based on the selected country code to ensure the correct format is used and matches your Guestlist data.

Additionally, you can set a default country from your Event Settings. Once updated, this will automatically apply the correct default country code across your guest experience, including RSVP.

🟩 Confirming Attendance

Guests first answer the default attendance question, “Are you attending?”
This response powers:

  • RSVP totals

  • Guestlist attendance

  • Floorplan attendance

  • Overview statistics - Dashboard

Only the default attendance question updates attendance across your event.

🧒 Adding Children or Babies

If enabled, guests have the option to add a child or baby during the RSVP process.

They can do this by clicking “Add child or baby”, where they’ll be prompted to enter:
• First name
• Last name
• Age category (Child or Baby)

Once added, the child or baby will be included in their RSVP selection.

All details are automatically synced to your Guestlist, ensuring everything stays up to date.

🍽 Answering Meal & Dietary Questions

Guests can complete any catering questions you include, such as meal choices, allergies, dietary needs or kids’ meals. These automatically fill into your sparkle fields in the Guestlist.

🚗 Answering Additional Questions

Depending on your setup, guests may also see optional questions about transportation, accommodation, children attending, song requests, accessibility or anything else you’ve added.

🧾 Reviewing Their Summary

Before submitting, guests see a final summary of all their answers.
After submitting, they receive a confirmation email with the full response.
(For this reason, always test using your own contact details.

🔁 Editing Their RSVP

If editing is enabled, guests can return to the form anytime, enter their email or phone and update their responses. All changes sync to your Guestlist automatically.

Seeing the form as guests do helps you design a clearer RSVP experience, reduce errors, avoid duplicates and ensure you collect all the details you need.
