🛠 Creating Your RSVP Form

You can build your RSVP form directly in the RSVP Manager.

To create your form:

  • Open your RSVP tab

  • Choose the events you want guests to RSVP to

  • Add or customise questions

  • Set your RSVP deadline

  • Save and publish

Your form is instantly ready to share via your website, link or e-card.

✏️ Customising Your RSVP Questions

Your RSVP form can collect any information you need from guests.

You can add questions for:

  • Attendance

  • Plus-ones

  • Meals & dietary requirements

  • Transportation

  • Accommodation

  • Kids attending

  • Song requests

  • Accessibility needs

  • Custom free-text answers

Control visibility:

Set who sees which question - everyone, specific guests, or only certain categories.

This ensures each guest only sees relevant questions.

🧒 Adding Plus-One Options

You decide how guests can respond with plus-ones.

You can allow:

  • Named plus-ones

  • Unnamed placeholders

  • No plus-ones

When a plus-one is submitted, the details sync directly into the Guestlist.

📅 Setting RSVP Deadlines

Encourage timely responses and keep planning on track.

You can set:

  • A single RSVP deadline for all guests

  • Different deadlines for different events

  • Follow-up reminders using your communication tools

Once the deadline passes, guests will no longer be able to submit their form (unless you reopen it).

👀 What Your Guests See

You can preview the exact experience your guests will have.

  • Click the Preview button

  • Walk through the form using your own contact details

  • Avoid using another guest’s information - we send a confirmation email at the end of the form, and they’ll receive it

Previewing helps you ensure the wording, questions and flow are exactly how you want them before publishing.

🔗 Sharing Your RSVP Form

You can share your form however you prefer:

  • Add it to your TTO Website

  • Send via E-Card Invitation

  • Share a direct online link

  • Add it to printed invitations using a QR code

All responses automatically return to your RSVP Manager.

📨 Connecting Your Form to Guestlist

Your RSVP form syncs with your Guestlist in real time.

When guests reply:

  • Attendance updates

  • Plus-one details appear

  • Meals & allergies auto-fill

  • Missing emails/phones are added

  • Sparkle fields update instantly

No manual edits required - everything connects automatically.

📊 Monitoring RSVP Activity

In the RSVP Manager, you can track:

  • Total responses

  • Who hasn’t replied yet

  • Attendance progress

  • Multi-event acceptance rates

  • Plus-one numbers

  • Catering and meal counts

This helps you prepare seating, menus and logistics with confidence.

📘 Why Your RSVP Form Matters

A well-designed RSVP form helps you:

  • Keep all guest details clean and consistent

  • Reduce manual admin

  • Ensure accurate seating and catering

  • Collect every detail you need in one place

  • Avoid duplicate or missing guest information

  • Run a smooth, stress-free planning process

Your RSVP form is the engine behind accurate event planning — the more complete your form, the easier your event becomes.

⚠️ Important: Why Your Attendance Totals May Not Show

If your RSVP totals aren’t displaying correctly, it may be because a custom attendance question was created.
Only the default attendance question includes the internal YES/NO logic required to connect to:

  • RSVP totals

  • Guestlist attendance

  • Overview stats

  • Floorplan filters

  • E-Card filters

Custom questions don’t include this logic, so TTO cannot recognise when a guest has actually confirmed “Yes” or “No.”

To ensure your totals update correctly, always use the default attendance question for the main “Are you attending?” response.
