➕ Creating a Timeline Item
When adding or editing a timeline item, you'll see two options under "When is this happening?":
🕐 It has a time — use this when you already know the exact start and end date/time
🕒 To be scheduled — use this when the timing isn't confirmed yet
📅 It Has a Time
Selecting this option shows fields for:
Start date & Start time
End date & End time
Fill these in with the confirmed schedule for this item.
.
💡 Tip: If an item runs into the next day (like an after-party ending past midnight), you can set the End date separately from the Start date - TTO will still display it correctly on your Timeline.
🕒 To Be Scheduled
If you're not ready to lock in a time yet, select To be scheduled instead. The date and time fields will remain blank (showing placeholders like Select the date and – : – –), so you can save the item now and fill in the exact timing later.
💡 Tip: This is useful for items you know need to happen — like vendor setup or sound checks - but haven't confirmed a specific time slot for yet. You won't lose your place in the Timeline while details are still being finalized.
🎨 Additional Item Details
Regardless of which option you choose, you can also set:
Colour — click Edit to assign a colour, helpful for visually grouping related items
Party involved — tag who's responsible for or involved in this item (e.g. a specific collaborator)
Once everything looks right, click Save to add the item to your Timeline — or Cancel to discard it.
