π Budget Section
The Budget section gives you an overview of all your planned expenses per category. Each entry shows the estimated amount, how much has been paid to date, and what's still remaining.
When you click into a budget category, you'll see the following options:

βοΈ Pick a Different Category option allows you to reassign a budget entry to a different category in case it was placed under the wrong one or your planning needs have changed.
When you click Pick a different category, a dropdown will appear with the following:
π Search or create new β Type to search through your existing categories or simply type a new name to create a brand new category on the spot. This saves you time without having to navigate away from the budget view.
βοΈ Manage categories β Found at the bottom of the dropdown, this option takes you to a dedicated view where you can manage all your existing budget categories in one place. You can rename, reorganize, or remove categories to keep your budget structure clean and up to date.
π‘ Pro Tip: Before adding budget entries, take a moment to set up and organize your categories first using Manage categories. Having a clear category structure from the start makes it much easier to track your spending and avoid having to reassign entries later!
β Add Sub-Category
β Add Sub-Category
Sub-categories allow you to break down a main budget category into more specific groupings, making it easier to manage multiple vendors or expense types under one parent category.
When you click the β― (three dots) next to a category and select Add sub-category, a new sub-category will appear nested underneath the main category (e.g. New sub-category under Florists). The sub-category also has its own β― More actions menu which gives you additional options specific to that sub-category:
β Add vendor β Assign a vendor directly to the sub-category. When clicked, a search dropdown will appear with a π Search or add a vendor field where you can find existing vendors (e.g. Some Vendor A, Hoots and Boots 2) or add a new one on the spot.
β Add payment without vendor β Log a payment under the sub-category that isn't tied to any specific vendor, useful for unassigned or miscellaneous costs.
ποΈ Delete β Removes the sub-category entirely. Please note this action cannot be undone, so make sure the sub-category is empty before deleting.
Once a vendor is added under a sub-category, you can expand it to view the full Payment Schedule β Actual & Paid panel on the right, where you can track the due date, amount, paid status, and outstanding balance for that vendor.
π‘ Pro Tip: Use sub-categories when you have multiple vendors under one budget category. For example, under Florists you can create sub-categories like Ceremony Flowers and Reception Flowers and assign a different vendor to each - keeping your budget detailed and easy to read!

This option allows you to assign an existing vendor from your Vendors list directly to a budget category or sub-category, linking their costs to your overall budget tracking.
When you click Add vendor from the β― (three dots) menu, a search dropdown will appear with a π Search or add a vendor field. You can either search for an existing vendor (e.g. Silver spoon event, Hoots and Boots 2) or type a new vendor name to add one on the spot.
Once a vendor is selected and added, they will appear nested under the category or sub-category. Any payments linked to that vendor will automatically reflect in the budget row, showing the total amount, paid to date, and remaining balance. You'll also be able to expand the vendor row to access the full Payment Schedule β Actual & Paid panel on the right side, where you can:
π° Set multiple payment due dates β For example, an initial deposit due on 06/30/2026 and a final payment due on 07/31/2026, each with their own amounts.
β Mark payments as Paid β Check off each payment once it has been settled.
π Track the Outstanding balance β Automatically calculated as Actual Amount β Paid = Outstanding, so you always know what's left to pay per vendor.
Once a vendor has been added, clicking the β― (three dots) menu next to their name gives you two additional options β View vendor and Move to...
Selecting View vendor opens the vendor's details side sheet, where you can review or edit their general information such as business name, category, labels, contact name, phone, email, and about section. From here you can also Export the vendor's details or click Edit to make changes.
Selecting Move to... will open a dropdown showing a π Search or create a sub-category field, with a full list of your existing categories (e.g. Accessories, Accommodation, Bar & Beverage, Catering). You can either scroll through the list or type to search for a specific category. Once selected, the vendor will be instantly reassigned and all associated payments and costs will carry over automatically.

ποΈ View vendor β Opens the vendor details side sheet where you can review and manage all information related to that vendor. The side sheet is divided into the following sections:
General β Displays the vendor's core details including business name, category, labels, contact name, phone, email, and about section.
Links β Shows any associated website or Instagram links for the vendor.
Payment Schedule β Track upcoming and completed payments directly from the side sheet. Click Show to expand and view all scheduled payments. You can also see the full payment breakdown in the budget row, including due dates, amounts, paid status, and the outstanding balance (Actual β Paid = Outstanding).
From the side sheet you can also:
π€ Export β Download the vendor's details.
βοΈ Edit β Click the Edit button to update any of the vendor's general information directly from the side sheet.

β‘οΈ Move to... β Reassigns the vendor to a different category or sub-category of your choice. When selected, a Choose Where to Move This Vendor dropdown will appear with a π Search or create a sub-category field at the top, followed by a scrollable list of all your existing categories (e.g. Accessories, Accommodation, Bar & Beverage, Cake & Sweets, Celebrants, Childcare, Coordinator, Decor).
You can either scroll through the list to find the right category or type in the search field to locate it quickly. You can also type a brand new name to create a new sub-category on the spot if the one you need doesn't exist yet.
Once a category is selected, click Move to... to confirm and the vendor will be instantly reassigned, appearing nested under the new category with all associated payment data, due dates, and costs carrying over automatically β no need to delete and re-add the vendor.
π‘ Pro Tip: Use Move to... whenever a vendor has been added under the wrong category β all their payment data will be preserved and carried over to the new category automatically!

β Add Payment Without Vendor
This option allows you to log a payment that isn't tied to a specific vendor - perfect for miscellaneous expenses, deposits, or costs that don't have a confirmed vendor assigned yet.
When you select Add payment without vendor, a payment entry labeled No vendor will appear under the category, and a payment form will open on the right side panel where you can fill in the following details:
π³ Vendor β Left blank or unassigned since this payment has no vendor linked to it.
π Type β Select the payment method such as Card, Bank Transfer, Cash, or others.
π Show in Budget β Link the payment to the correct budget category (e.g. Florists) so it still reflects in your overall budget tracking even without a vendor.
π€ Owner β Assign the person responsible for making this payment (e.g. John Doe).
π Notes β Add any relevant details or context about this payment.
Once saved, the No vendor entry will appear in your budget list showing the actual amount, paid to date, and outstanding balance β just like any other vendor entry. You'll also notice a β― (three dots) button next to each payment row which gives you additional options:
ποΈ Delete β Remove the payment entry permanently.
π Duplicate β Create a copy of the payment entry, useful when logging similar recurring payments.
β Cancel β Discard any unsaved changes.
πΎ Save β Confirm and save the payment entry.
π‘ Pro Tip: Use Add payment without vendor for any upfront costs or deposits you've paid before a vendor is officially confirmed in the system. You can always reassign it later once the vendor is added!
π³ Payments Tab
The Payments tab gives you a dedicated view of all your scheduled and completed payments across all vendors β organized by month so you can easily see what's coming up and what's already been settled.
At the top of the Payments tab you'll find three summary cards giving you a quick overview:
π‘ Due this week β Payments due within the current week.
π΅ Due this month β Total payments and amount due this month (e.g. 2 payments totaling β¬27,000.00).
βͺ All remaining β Total outstanding payments still to be settled (e.g. 5 payments totaling β¬36,000.00).
Payments are grouped by month (e.g. June, August) making it easy to plan ahead. When you click on a payment row to expand it, a full payment form appears where you can view or edit all the details including the vendor, amount, due date, payment type, owner, and notes.
π Show in Budget
Within the payment form, the Show in Budget field allows you to link the payment to the correct budget category so it reflects accurately in your overall budget tracking. When you click the dropdown, a searchable list of your budget categories and sub-categories will appear, including options like Miscellaneous, Landscape Artist, and any custom sub-categories you've created (e.g. Florists > New sub-category). Simply select the correct category to link the payment. If you need to unlink it, use the β Clear option at the bottom of the dropdown to remove the budget association.
Once a payment has been made, simply tick the β Paid checkbox on the right side of the payment row to mark it as settled and update your records automatically.
π‘ Pro Tip: Use the Paid toggle at the top right of the Payments tab to filter and view only completed payments - great for quickly checking what's already been settled! And always make sure to link your payment to the correct budget category so your totals stay accurate and nothing gets counted under the wrong expense group!
