💳 How to Track Vendor Payments

TTO's payment tracking lets you manage all vendor payments in one place. Add milestones, track due dates, get reminders, handle multiple currencies, and sync with your budget. Here's how.

🧩 Step 1: Add Payment Milestones to a Vendor

Start in the Vendors tab inside your event.
You can add a vendor from your contact book or create one manually.

Then:


• Click Details → Edit
• Scroll to the bottom to find Payment Schedule
• Add each payment milestone individually

For each milestone, you can enter:
• Amount (e.g., 10% deposit)
• Currency (any currency is supported)
• Due date
• Payment method (e.g., bank transfer)
• Who is responsible for paying

You can add as many milestones as you need and plan each stage clearly.
When you're done, click Save.

Example:
For Mykonos Flowers, you might add a deposit due in 2 weeks, a production payment, and a final payment before the wedding.

📅 Step 2: Track Payments Due This Week or Month

To view all upcoming payments across all vendors:
• Click the Payments toggle (top left)

Here you will see a clean summary showing:
• Payments due this week
• Payments due this month
• All upcoming remaining payments

When a payment has been made, simply click the Paid checkbox to update your tracking.

To view past payments:
• Switch on the Paid toggle located next to the +Add Payment button.

This gives you full visibility of everything already paid and everything still outstanding.

🔔 Step 3: Receive Automated Email Reminders

TTO sends helpful payment reminder emails every week.

For clients:

They receive a weekly email summarising:
• Upcoming payments
• Upcoming to-dos

For planners:

They receive one weekly email summarising:
• Upcoming payments across all their events
• Important client to-dos

If you want to disable reminders, go to Settings → Notifications.
Clients can manage their preferences on their side as well.

These reminders help avoid missed payments and keep everyone aligned.

💰 Step 4: Track Your Budget

Every payment you enter or mark as paid automatically updates your Budget Sheet — no extra work needed.

From your budget, you can:
• Click any vendor to see detailed payment info
• Update payments
• Review attached invoices or documents
• Add comments

Track payments in multiple currencies

For destination weddings or international vendors, you can convert payments between currencies.

To add another currency:
• Go to Budget Settings
• Click Add Additional Currency
• Enter a custom FX rate

Then use the dropdown in your budget to view your payments in that currency.

This is especially helpful when:
• The wedding is in Europe (EUR)
• The couple lives in the US (USD)
• Vendors or venues charge in multiple currencies

Everything stays coordinated and accurate.
