🖨️ How to Export

To export your floor plan, click Export in the top toolbar and choose the format that best fits your needs. You can choose from three export options: Document, Image, or Poster.

When exporting, you'll choose:

Meal choice: which meal to show on the plan: Starter, Main meal or Dessert. Pick None to export without meal info.
📌 Note: With None selected, seats aren't colour-coded by meal and there's no meal column or meal key, but guest allergies and dietary needs still show. If none of your seated guests have answered a meal question (e.g. Starter), that option is greyed out, with the reason shown.
Export as:
- Document: the plan, plus a page per table with guests, meals and allergies
- Full canvas image: the plan on its own, as one image, with no table details
Format-specific settings: image quality for both Document and Full canvas image, plus a preview option for Document

Need a bigger print? Under Full canvas image, click Printer can't fit one page? Split it across several > to tile your plan across multiple printable pages (Poster).

💡 Important Note: Large exports may take longer to process. Increasing image quality or the number of tiles will also increase processing time and file size.

💡 Tip: On desktop, your PDF export opens in a preview first, so you can check it before downloading or printing. On a phone or tablet, it downloads straight to your device.

📄 Document – a detailed page for each table

🔍 Choose an image quality

The plan page and table diagrams in your Document export are now sharper, so table numbers and guest names stay readable when you zoom in. Pick a quality before exporting:

Low: smaller file, faster to create
Medium (Recommended): clear enough for printing, with a balanced file size
High: the sharpest detail, but a larger file and longer export time

Best for sharing seating and meal details with vendors, coordinators, or catering teams, or for final confirmations before the big day.

A Document export is a multi-page PDF that includes:

Cover page — your full floor plan layout, with the venue name and a legend summarizing meal counts and allergy totals across the whole event
Guest summary page — a breakdown of total seated guests, tables, and seats, plus a count of guests by age group (Adult/Child/Baby) and a full meal tally
Allergies, accessibility & dietary summary — a single table listing every guest with a noted allergy, dietary requirement, or accessibility need, along with their table/seat number. Guests are grouped under Tables, Single chairs and each ceremony block, so vendors can spot-check at a glance
All tables (alphabetical order) — every guest across the whole event listed alphabetically by last name, with their table, seat, meal choice, and any other notes — handy for quickly looking up a specific guest without knowing their table number
Per-table pages — for each table, you'll get:
- A table listing every guest at that table with their meal choice and notes
- A visual seating diagram showing exactly where each guest sits, color-coded by meal choice, with a legend showing meal and allergy counts for that table
- Single chairs: a page listing every guest seated on single chairs (chairs not attached to a table). The Table column is left empty, and seats show as 0.1, 0.2 and so on, matching your floor plan
- Ceremony chairs: a page for each ceremony block with seated guests. Each page ends with an image of your whole floor plan, with that block highlighted, so it's easy to tell blocks apart
  📌 Note: If no tables have guests, the "All tables" page is skipped. A ceremony block with no seated guests won't get its own page.
🍽️ What the Document Export Includes
Your export isn’t just a simple layout - it’s a fully structured, multi-page document designed for real wedding planning.

Sample cover page, guest summary, and per-table diagram

The first page shows your entire floorplan, with seats colour-coded based on the main meal selections. This gives your caterers and venue an instant understanding of the entire room.

This page includes a clear breakdown of:
• Total number of guests
• Number of tables
• Total number of seats
• Meal counts
• Highlighted allergies or dietary restrictions (including table location)
Perfect for venues and catering teams.

Every table has a zoomed-in version showing a colour-coded key so staff know exactly where guests with dietary needs are sitting.
A full example export can be downloaded inside the tool.

💡 Tip: Because each table gets both a list and a diagram, this format works well for handing directly to your catering team or venue coordinator - they can match names to seats at a glance on the day.

🖼️ Full canvas image: the whole plan in one image

Best for a quick, all-in-one overview of your layout - ideal for sharing digitally or dropping into a presentation.

An Image export gives you the entire floor plan as a single high-resolution file, showing:

The full room layout, including furniture like the arch, DJ booth, and pedestal
All tables, positioned and labeled exactly as they appear on your canvas
Guest name tags at each seat, color-coded by meal choice
A legend summarizing meal counts and allergies across the whole event

Choose an image quality:

Low — smaller file, faster to create

Sample export at Low quality — zoom in once it's downloaded to see the level of detail

Medium (Recommended) — balanced sharpness and file size

Sample export at Medium quality — zoom in once it's downloaded to see the level of detail
High — the sharpest detail, but the largest file and longest export time

Sample export at High quality — zoom in once it's downloaded to see the level of detail

📌 Note: Higher quality means a sharper image - and a larger file that takes longer to create.

💡 Tip: Since everything is flattened into one image, this format works best for smaller or simpler floor plans. For larger, more detailed layouts, the Poster export keeps names and details readable when zoomed in or printed.

🧩 Poster: split across several pages

Best for printing a large copy of your floor plan, like a poster for the venue entrance or seating display.

Tiles takes the same full canvas image and splits it across several printer pages. Print each page and put them together to build the full layout.

Your Tiles export includes:

Sections of your floor plan, one per page
Numbered tiles for easy assembly when printed
A legend page with your meal and allergy counts

Configure your poster:

Orientation — Portrait or Landscape
Paper size — e.g. A4 (210 x 297 mm)
Desired grid layout — set Columns and Rows to control how many tiles make up your final print; more tiles create a larger final print

As you adjust these settings, the Tile preview updates to show a blue grid over your floor plan, with numbers indicating the order tiles should be assembled in. It also shows your paper dimensions, total page count, and calculated scale.

📌 Note: When you download, you'll get a ZIP file containing each numbered tile as its own image (e.g. tile-1, tile-2...), plus a separate legend file with your meal and allergy counts. Match the tile numbers to the Tile preview to assemble them in the correct order.

This is best used when:

Your floor plan is large or detailed
You need to zoom in and read guest names clearly
You want to print and assemble a large-format layout

💡 Tip: More columns and rows mean more tiles and a bigger final print - but also more pages to print and assemble. Start with a smaller grid and increase it if you need more detail per section.

💡 Tip: A single image at High quality holds more detail than tiles. TTO shows a quick comparison under the grid settings, so use Tiles when you need a large print, and one image when you'll be zooming in on screen.

📋 Downloading Your Guest List with Table Numbers

When you export your floor plan (as a Document), your guest list — complete with table numbers — is included automatically. There's no extra step needed; it's built into the export by default.

The Document export includes:

A summary page for allergies, accessibility, or dietary needs — showing which guests have specific requirements and exactly which table and seat they're sitting at (e.g. guests with needs seated at Table 1, seats 1, 3, and 4)

All guests in alphabetical order — as you scroll further, you'll see your full guest list listed alphabetically, along with a Table column showing which table each guest is seated at

A table-by-table breakdown — following the guest list, you'll see each table shown individually, listing every guest seated at that table in seat order, along with a zoomed-in image of that table's layout. This repeats for every table in your floor plan (Table 1, then Table 2, and so on)

💡 Tip: The Document export is especially useful when you need a clean, ready-to-share guest list with table assignments, with no manual cross-referencing between your guest list and floor plan.

✨ Which Export Should You Use?

Format	Best for
📄 Document	A complete overview with guest names and meal info, all in one file — ideal for venues, coordinators, or catering teams
🖼️ Image	A quick, single-image overview of the whole layout
🧩 Poster	Large or detailed events where readability matters — text stays sharp whether viewed on-screen or printed and assembled

💡 Tip: If your event is large or detail-heavy, Poster is usually the better choice for readability. For a fast, all-in-one overview with guest and meal info included, go with Document.

📌 Note: Export performance also depends on your device's memory and processing power. For best results, close other applications and use a device with sufficient performance when exporting complex floor plans.
