The Proposals feature lets you create and send professional proposals directly from your TTO dashboard - from services and pricing to contracts and payments, all in one place.

Where to Find Proposals ✨ Accessing your proposals:

  • Open your TTO dashboard

  • Click Proposals in the left-hand menu

  • You'll see a list of all proposals you've created

ℹ️ Key note: All proposals are stored here, giving you a clear overview of every proposal's name, status, and created date at a glance.

🎨 Customising Your Proposal Design

Once your proposal has been created, you can personalise it to match your brand and style under the Design tab.

πŸ–ŠοΈ Naming Your Proposal At the top of the page, you'll see your proposal name displayed next to the Proposals breadcrumb. You can click on the name to rename it at any time, keeping your proposals clearly labelled and easy to identify.

🎨 Primary Colour Under the Design tab, you can set a primary colour for your proposal:

  • Click Edit next to the colour swatch

  • A Custom Colour picker will appear

  • Drag to select your preferred colour or enter a specific hex code (e.g. #C49278)

  • The colour will apply across your proposal instantly

✍️ Font Select a font style that best represents your brand. TTO offers a range of styles to suit every aesthetic:

  • Corinthia β€” A flowing, elegant cursive ideal for romantic and classic proposals

  • Monte Carlo β€” A refined script with a sophisticated and stylish feel

  • Noto Serif β€” A clean, traditional serif font perfect for a professional and timeless look

  • Pacifico β€” A bold, casual script with a warm and friendly character

  • Petit Formal β€” A delicate, formal script suited for elegant and intimate proposals

  • Playfair Display β€” A classic serif font with a editorial and luxurious feel

  • Poppins β€” A modern, clean sans-serif great for a contemporary and minimal style

  • Raleway β€” A sleek and elegant sans-serif with a refined, stylish touch

  • Sacramento β€” A flowing cursive script with a light and romantic feel

  • Varela Round β€” A soft, rounded sans-serif that gives a friendly and approachable look

Each font is previewed in real time on the right-hand side so you can see exactly how your proposal will look before confirming your choice.


🧩 Proposal Sections

The Sections tab is where you build and structure the content of your proposal. Think of each section as a dedicated page your client will navigate through β€” from your welcome introduction all the way to the contract. You can customise each one to match your brand and the specific needs of every client.

πŸ“‘ Available Sections Your proposal comes with the following built-in sections. Click on each section in the dropdown to expand and customise it:

πŸ™Welcome - Your opening introduction

  • The Welcome section is the first thing your client sees when they open your proposal β€” so make it count! This section sets the tone and gives your client a warm, personalised introduction to what's ahead.

    You can customise it with the following fields:

    • Title β€” The main heading of the section (e.g. "Welcome"). This appears prominently at the top of the section in your chosen font and primary colour

    • Subtitle β€” A short supporting line that appears beneath the title (e.g. your client's names or a tagline)

    • Body β€” A short paragraph to warmly introduce your proposal. Use this space to express your excitement, briefly describe what the proposal covers, and set a positive tone (e.g. "We're so excited to work with you on your special day. This proposal outlines everything we have in store for you.")

    • Images β€” Upload one or more images to personalise this section. Click Add to upload a photo β€” this could be your brand imagery, a venue shot, or anything that helps set the mood for the proposal

    Show Section Use the Show section toggle to control whether this section is visible on the published proposal. When turned on, the section will appear in the proposal navigation and be visible to your client. Toggle it off to hide it without deleting the content.

ℹ️Additional Information - Extra notes or context for your client

The Additional Information section is where you can include any extra context or details that don't fit elsewhere in the proposal. This could be answers to common questions, logistical notes, or anything else your client may need to know before signing.

You can customise it with the following fields:

  • Title β€” The main heading for this section

  • Subtitle β€” A short supporting line beneath the title

  • Body β€” A paragraph with any additional notes or context you'd like to share with your client

  • Images β€” Upload images to support the information if needed by clicking Add

Use the Show section toggle to control whether this section appears on the published proposal or remains hidden.

βž• Add New Section - A breakdown of what's included in your package

Add New Section Need to include something that isn't covered by the default sections? Click + Add new section to create a completely custom section tailored to your client's needs.

This gives you full flexibility to add anything relevant to the proposal - whether that's a timeline, a mood board description, a team introduction, or any other information that helps tell your story and close the booking.

Once created, your new section will appear in the dropdown alongside the default sections and can be edited and customised in the same way.

ℹ️ Key note: All changes are reflected instantly in the live preview on the right - in both desktop and mobile views - so you can see exactly how your proposal will look before sharing it with your client.

πŸ›ŽοΈ Services - A breakdown of what's included in your package

The Services section is where you showcase exactly what's included in your package. It gives your client a clear and itemised breakdown of everything you're offering, along with the associated costs - making it easy for them to understand the full value of working with you.

You can customise it with the following fields:

Navigation The Navigation field allows you to customise how this section appears in the proposal's menu bar. By default it shows as "Our Services" but you can rename it to anything that suits your brand or proposal style.

Heading

  • Title β€” The main heading displayed at the top of the section (e.g. "Our Services")

  • Subtitle β€” A short supporting line beneath the title (e.g. "We help you plan the wedding of your dreams")

πŸ’Ό Adding Services Each service is displayed as an individual line item on the proposal, showing the service name, a short description, and the price. To add a service:

  • Click + Add service at the bottom of the section

  • Enter the service name and description

  • Add the price for that service

  • Repeat for as many services as needed

  • Click the πŸ—‘οΈ delete icon next to any item to remove it

All service items will appear instantly in the live preview on the right, exactly as your client will see them.

Use the Show section toggle to control whether the Services section is visible on the published proposal.

πŸ’³ Payment - Your payment schedule and instalments

The Payment Schedule section is where you outline how and when your client will be making payments. It presents a clear, structured table that shows each payment term, its due date, and the amount - making it easy for your client to understand exactly what's expected and when.

You can customise it with the following fields:

Navigation The Navigation field allows you to customise how this section appears in the proposal's menu bar. By default it shows as "Payment Schedule" but you can rename it to suit your preference.

Heading

  • Title β€” The main heading displayed at the top of the section (e.g. "Payment Schedule")

  • Subtitle β€” A short supporting line beneath the title (e.g. "This is how you will pay us")

πŸ’° Adding Payments Each payment is displayed as a line item in a table showing the Terms, Due Date, and Amount. To add a payment:

  • Click + Add payment at the bottom of the section

  • An Edit payment pop-up will appear with the following fields:

    • Due Date β€” Select the date the payment is due

    • Terms β€” Describe the payment term (e.g. 50%, 1/2, Full, Non-refundable Deposit)

    • Amount β€” Enter the payment amount and select the currency (e.g. USD)

  • Click Done to save the payment

  • Repeat for as many payment instalments as needed

  • Click the πŸ—‘οΈ delete icon to remove any payment item

All payment entries will appear instantly in the live preview exactly as your client will see them.

Use the Show section toggle to control whether the Payment Schedule section is visible on the published proposal.

ℹ️ Key note: Breaking your payments into clear instalments with specific due dates helps build trust with your client and sets clear expectations from the very start.

πŸ“„ Contract - The agreement your client will sign to accept the proposal

The Contract section is where you connect and present the agreement your client will sign to officially accept the proposal. This is the final and most important step in sealing the booking - everything is handled directly within TTO, no third-party tools needed.

You can customise it with the following fields:

Heading

  • Title - The main heading displayed at the top of the section (e.g. "Contract")

  • Subtitle - A short supporting line beneath the title

  • Body - A short paragraph to guide your client (e.g. "Please review and sign the attached contract below.")

πŸ“ Adding a Contract To attach a contract to your proposal, click + Add contract. A pop-up will appear with three options:

  • Create new β€” Start a contract from scratch and design it as you go. You can upload documents or images, and drag and drop the following field elements onto your contract:

    • Heading β€” Add section headings to structure the contract

    • Text β€” Add body text and clauses

    • Signature β€” Add a signature field for the client to sign

    • Initials β€” Add an initials field

    • Date β€” Add a date field

    • Date Signed β€” Automatically captures the date the contract is signed

    • Number β€” Add a number field

    • Image β€” Insert an image into the contract

    • Checkbox β€” Add a checkbox for the client to tick

    • Multiple β€” Add multiple choice fields

    • File β€” Attach a file

    • Radio β€” Add radio button selections

    • Select β€” Add a dropdown selection field

    • Cells β€” Add a table or grid layout

    • Stamp β€” Add a stamp field

    • Strikeout β€” Add a strikeout annotation

  • Import template β€” Pick an existing contract template to copy into this proposal. Any edits made here won't affect the original template

  • Manage templates β€” Click Go to templates to visit the templates page and manage your saved contract templates

πŸ‘₯ Parties You can assign signing parties to the contract. By default, First Party is set up automatically. Click the + button to Add Second Party - this would typically be your client who needs to review and sign the contract.

Use the Show section toggle to control whether the Contract section is visible on the published proposal.

A Proposal in TTO is a customizable, client-facing page where you present event details, services, and information in a branded, structured format before publishing and sharing.

ℹ️ Key note: Once a contract is linked to the proposal and the proposal is published, the contract will appear in this section for the client to review and sign directly - making the entire booking process seamless from start to finish.

You can also click + Add new section to create a fully custom section tailored to your client's needs. Once created, it will appear in the dropdown alongside the default sections and can be edited in the same way.

ℹ️ Key note: All changes are reflected instantly in the live preview on the right - in both desktop and mobile views - so you can see exactly how your proposal will look before sharing it with your client.

πŸš€ Publishing Your Proposal

Once your proposal is ready, it's time to share it with your client. Before it goes live, TTO will walk you through a quick finalisation process to make sure everything is in order.

πŸ“€ How to Publish When you're happy with your proposal, click the Publish button in the top right corner. A confirmation pop-up will appear titled "Ready to share this proposal?" outlining exactly what happens when you finalise.

⚠️ What Happens When You Finalise Before confirming, please take note of the following:

  • The proposal content will be locked β€” once finalised, text, sections, and items can no longer be edited

  • You'll assign participants β€” you'll be prompted to assign who the participants are for each signing role

  • The contract will be shared β€” once participants are assigned, the contract will be shared with each participant for review and signing

βœ… Confirming & Finalising Before clicking Finalize & Assign Participants, you must tick the checkbox confirming:

"I understand this proposal's content can't be edited after finalizing"

Once ticked, click Finalize & Assign Participants β†’ to proceed. If you're not ready, click Cancel to go back and make any final changes.

πŸ‘₯ Assigning Participants After confirming, a Publish Proposal pop-up will appear. Here you'll fill in the details for each signer defined by the contract:

  • First Party β€” Enter the full name and email address of the first signer (typically yourself or your business)

  • If a Second Party was added in the Contract section, their details will also appear here to be filled in

Once all signer details are completed, click Publish to send the proposal live. Click Back if you need to go back and make any changes before publishing.

ℹ️ Key note: Make sure all signer details are accurate before clicking Publish - once the proposal is live, your client will receive it and can begin reviewing and signing the contract straight away.


πŸ“‹ Understanding Proposal Statuses

When managing your proposals in TTO, each proposal is assigned a status that reflects where it currently stands in the process. Here's a quick breakdown of what each status means:

πŸ“‘ Proposal Statuses - Track where each proposal stands - from first draft to fully accepted and signed.

πŸ“ Draft

A Draft proposal is one that has been created but not yet sent to the client. This is your working stage - everything is fully editable and nothing is visible to your client until you're ready to publish.

When a proposal is in Draft, you have full access to both tabs:

  • Design tab - Customise your proposal's look and feel by selecting a primary colour and font style (Corinthia, Monte Carlo, Noto Serif, Pacifico, and more). All changes are reflected instantly in the live preview on the right in both desktop and mobile views

  • Sections tab - Build and structure your proposal content including the Welcome, Additional Information, Services, Payment Schedule, and Contract sections

The Publish button will be visible at the top right but will remain inactive until all required information - including a contract - has been added and you are ready to finalise.

πŸ“€ Sent

A Sent proposal means the proposal has been published and is now live for your client to review. Once a proposal is sent, the content is fully locked - the Design and Sections tabs will no longer be editable and will show a πŸ”’ lock icon.

When a proposal is in Sent status, you'll have access to the Activity tab which shows:

πŸ‘₯ Participants A list of all assigned signers and their current signing status. Each participant will show:

  • Their name and email address

  • Their signing role (e.g. First Party)

  • Their current status - Pending means they have not yet signed the contract

πŸ”— Share to Sign You can share the proposal with participants directly from this tab using two options:

  • Copy signing link - Copy a private link and share it with the participant manually

  • Email signing link - Send the signing link directly to the participant's email address

ℹ️ Key note: Once a proposal is Sent, the content cannot be edited. If you need to make changes, you will need to create a new proposal. Make sure everything is accurate before publishing!

βœ… Accepted

A proposal is marked as Accepted once all participants have reviewed and signed the contract - meaning the booking is officially confirmed. Just like the Sent status, the Design and Sections tabs remain locked with a πŸ”’ icon and can no longer be edited.

When a proposal is in Accepted status, the Activity tab will show:

⬇️ Download Signed PDF A Download signed PDF button will appear at the top of the Activity tab, allowing you to download a fully signed copy of the contract for your records.

πŸ‘₯ Participants All assigned signers will be listed with their signing details and status:

  • Their name, email address, and signing role (First Party / Second Party)

  • A green βœ… Signed status showing the exact date and time they signed (e.g. April 29th, 2026 at 7:11 PM)

  • A View response button β€” click this to see the full Participant details including all fields they filled in such as text fields, date fields, number fields, and their signature

πŸ“‹ Participant Details Clicking View response opens a pop-up showing the complete signing details submitted by that participant:

  • Their name, email, and signing role

  • The Signed status with the exact timestamp

  • All filled-in contract fields including text, dates, numbers, and their digital signature

ℹ️ Key note: Once a proposal is Accepted, we recommend downloading the signed PDF immediately and saving it for your records. This serves as your official confirmation that the client has agreed to the terms and the booking is confirmed.

βš™οΈ Proposal Actions By clicking the ... menu next to any proposal, you can perform the following actions:

  • Edit β€” Make changes to the proposal (only available for Draft proposals)

  • Download signed PDF β€” Download a signed copy of the contract as a PDF once the proposal has been accepted

  • Archive β€” Archive the proposal to keep your list clean and organised without deleting it

  • Delete β€” Permanently delete the proposal

πŸ” Filtering & Searching Use the Filter by status option at the top of the page to quickly view proposals by their current status. You can also use the search icon to find a specific proposal by name.

ℹ️ Key note: Take your time in Draft mode - once you click Publish and finalise the proposal, the content will be locked and can no longer be edited. Make sure everything is reviewed and accurate before sending it to your client.
