➕ Add Vendors to Your CRM

TTO’s vendor management tools let you build your own supplier directory, reuse vendors across weddings, collaborate with clients, and track documents and payments. Here’s how to add vendors to your Contacts CRM and connect them to your events.

📥 Add Vendors to “My Contacts”

Start by building your core vendor directory. This is your personal CRM where all supplier profiles are stored.

You can:
• Add an individual contact by selecting Add New
• Upload multiple vendors at once using Bulk Upload

If using bulk upload:
• Download the template
• Add your vendor and venue details
• Re-upload the completed file
• TTO will automatically create a profile for each contact

You can enhance each profile by adding:
• Private notes (visible only to you)
• Documents such as contracts or invoices
• Images or example work

Your vendor list becomes your reusable library for future weddings.

🏷️ Add Vendors Into a Wedding for Couples to Review

Inside any wedding, go to the Vendors tab to connect suppliers to that specific event.

You can:
• Select + Add Contacts
• Choose vendors from your Contacts CRM
• Or create a new vendor directly in the event

Vendors added here do not sync back to your CRM - instead, the system creates a duplicate copy for this specific wedding. All essential info (contact details, description, Instagram, website) will be copied automatically, except private notes.

Once a vendor is added to the event board, you can open Details to upload documents for your couple to review, such as:
• Quotes
• Brochures
• Contracts
• Notes

Your couple can update the vendor’s status to:
• Tentative
• Confirm
• Decline

Any declined vendors can be removed by clicking Edit > Delete.

Once a vendor is confirmed, you can upload their payment milestones. Multi-currency support is available, and these payments will roll up into weekly and monthly summaries with automated reminders.

💬 Add Comments & Collaborate

Each vendor card includes a comment section that keeps all communication together.

To collaborate effectively:
• Add comments inside the vendor details
• Tag collaborators by typing @name
• They’ll instantly receive a notification
• Add documents, links, emojis, and instructions

You can also reply directly from your email. When you receive a comment notification, simply reply to the email and your response will automatically sync back into the vendor’s comment thread. This lets you collaborate on the go effortlessly.
