Zoom Integration

Connect Zoom to TTO to automatically capture your meeting transcripts as AI summaries, and file them into your event's Notes.

🎥 What It Does

Connect your Zoom account to TTO, and your meeting transcripts show up automatically - no manual note-taking needed. After a cloud-recorded Zoom call finishes processing, TTO imports the transcript as an AI Summary and Full Transcript on your Meeting Recap page. From there, you can file it straight into an event's Notes.

✅ Before You Connect

You'll need:

  • A TTO planner account

  • A paid Zoom account with Cloud Recording and Audio Transcript available

📌 Note: These are paid Zoom features. When you connect, TTO turns them on for you automatically - but if your Zoom plan or role doesn't allow that, you can enable them yourself in Zoom → Settings → Recording.

🔗 How to Connect

  1. Go to Settings → Integrations

  2. On the Zoom card, click Connect Zoom

3. Before connecting, you'll see a summary of exactly what connecting will do:

  • Connecting turns on Cloud Recording in your Zoom account, so meetings start recording automatically

  • It also turns on Audio Transcripts, so meeting notes can be imported here

  • These settings apply to every meeting you host, not only ones about your events

  • A paid Zoom account is required to use this integration

  • You can disconnect at any time — Cloud Recording and Transcripts stay on in Zoom until you turn them off there

4. Click Connect Zoom, then you'll be redirected to Zoom's authorization screen review the permissions and click Allow

5. You're brought back to Settings → Integrations, where the Zoom card now shows Connected, along with your Zoom Account ID and granted scopes

💡 Tip: You can also start the connection from your Meeting Recap page — if Zoom isn't connected yet, you'll see a "Zoom is not connected" prompt with a Connect to Zoom button, or a Go to integrations link.

📝 Using Your Transcripts

Once connected, your calls appear automatically on the Meeting Recap page under Zoom Transcripts, listed by date.

  • Read a call — click any transcript to open it and view the AI Summary, or expand the Full Transcript

File it into an event's Notes — from the transcript detail view, use the Select wedding dropdown to choose which event it belongs to, then click Move to Notes

Once moved, the transcript becomes an editable Note - you can set a title, add a cover image, assign a category, set restrictions, and format the content further using the rich text editor before saving.

  • Delete a transcript — click Delete from the transcript detail view, then confirm

❌ Disconnecting

From TTO: Go to Settings → Integrations → click Disconnect on the Zoom card → confirm.

From Zoom: Zoom App Marketplace → Manage → Installed Apps → find the app → Remove.

⚠️ Note: Either method immediately deletes your stored Zoom connection (tokens, Account ID, scopes) - TTO can no longer access your Zoom account. Transcripts you've already imported stay in TTO; delete them individually if needed. Your Zoom recording settings stay on unless you turn them off yourself.

🛠️ Troubleshooting

"A paid Zoom account is required" — Cloud Recording and Audio Transcript are paid Zoom features. Upgrade your plan or use an account that has them.

Transcript hasn't appeared — Make sure Zoom shows Connected, the meeting was recorded to the cloud (not locally) with Audio Transcript on, and it was hosted by the same Zoom account you connected. Give it a few minutes after Zoom's "recording available" email.
