Zoom Integration

Connect Zoom to TTO to automatically capture your meeting transcripts as AI summaries, and file them into your event's notes or to-dos.

πŸŽ₯ What it does

Connect your Zoom account to TTO and your meeting transcripts show up automatically - no manual note-taking needed. After a cloud-recorded Zoom call finishes processing, TTO imports the transcript as an AI Summary and Full Transcript on your Zoom Transcripts page. From there, you can file it straight into an event's Notes or To-Do list.

βœ… Before you connect

You'll need:

  • A TTO planner account

  • A paid Zoom account with Cloud Recording and Audio Transcript available

πŸ“Œ Note: These are paid Zoom features. When you connect, TTO turns them on for you automatically - but if your Zoom plan or role doesn't allow that, you can enable them yourself in Zoom β†’ Settings β†’ Recording.

πŸ”— How to connect

  1. Go to Settings β†’ Integrations

  2. On the Zoom card, click Connect Zoom

  3. You'll be redirected to Zoom's authorization screen β€” review the permissions and click Allow

  4. You're back on Settings β†’ Integrations, and the card now shows Connected, along with your Zoom Account ID and granted scopes

πŸ’‘ Tip: Connecting automatically enables Cloud Recording and Audio Transcript on your Zoom account β€” that's what lets your meetings produce the transcripts TTO imports.

πŸ“ Using your transcripts

  • Read a call β€” open any transcript to see the AI Summary, or expand the Full Transcript

  • File it into an event β€” click Move to Notes to add it to that event's planning notes, or Move to To Do to turn it into action items. You'll pick which event it belongs to

  • Delete a transcript β€” click Delete, then confirm

❌ Disconnecting

From TTO: Go to Settings β†’ Integrations β†’ click Disconnect on the Zoom card β†’ confirm.

From Zoom: Zoom App Marketplace β†’ Manage β†’ Installed Apps β†’ find the app β†’ Remove.

⚠️ Note: Either method immediately deletes your stored Zoom connection (tokens, Account ID, scopes) - TTO can no longer access your Zoom account. Transcripts you've already imported stay in TTO; delete them individually if needed. Your Zoom recording settings stay on unless you turn them off yourself.

πŸ› οΈ Troubleshooting

"A paid Zoom account is required" β€” Cloud Recording and Audio Transcript are paid Zoom features. Upgrade your plan or use an account that has them.

Transcript hasn't appeared β€” Make sure Zoom shows Connected, the meeting was recorded to the cloud (not locally) with Audio Transcript on, and it was hosted by the same Zoom account you connected. Give it a few minutes after Zoom's "recording available" email.

"Zoom is not connected" β€” Click Go to integrations, then Connect Zoom again.
